What to Expect in the First 30 Days

You’ve signed on with us—welcome to LimeLight.

Starting a new partnership is exciting, and we want to make sure the momentum from our early conversations carries right into the work. If past agency experiences have left you wary of what happens after the contract is signed, I get it—we hear that a lot, and we do things differently.

I’m going to walk you through exactly what your first 30 days will look like so you know what to expect, who you’ll be working with, and how we’ll communicate along the way.

The First 48 Hours

Within a day or two of signing, you’ll receive a welcome email introducing you to your Account Manager and Project Manager. These are the two people you’ll work with most closely:

Your Account Manager is your main point of contact for the relationship and performance side of things. They’re focused on understanding your business goals and making sure the work we deliver drives real results. If you have questions about strategy, opportunities, or how things are going overall, they are your person.

Your Project Manager keeps everything running smoothly on the execution side. They coordinate with our team, manage the details, schedule meetings, and make sure you always know what’s happening and what’s expected. No surprises, no missed deadlines—that’s their focus.

You’ll also receive a New Client Setup Form around this time. This helps our operations team get the details we need to set everything up correctly—things like your billing contact, email address for invoices, who should be invited to your Basecamp project, and who on your team is authorized to sign future Statements of Work. It only takes a few minutes to complete and helps us avoid any back-and-forth on the administrative side.

You’ll receive your first invoice via email soon after signing, which you can pay online via ACH.

Getting Set Up in Basecamp

Shortly after signing, your Project Manager will invite you to Basecamp. This is where all of our communication, file sharing, and to-do tracking happens. We can invite any others on your team who will be working with us. 

A few things to know about Basecamp:

You don’t need to log in and check it constantly. You’ll get email notifications when there’s something new, so it comes to your inbox. That said, some clients find the daily recap emails to be too much at first. If that’s the case, you can update your notification settings, or let us know and we can walk you through that. 

We prefer Basecamp over email for most communication because it keeps everything in one centralized place, gives our full team transparency when needed, and makes sure nothing gets lost. We’ll use email when we need to pull in people who aren’t in Basecamp, but otherwise, Basecamp is home base.

Access Requests

One of the first things your Project Manager will do is request access to the systems and platforms we’ll need to do the work—things like your website, analytics, ad accounts, or email platform, depending on the engagement.

Getting access early is one of the most important things you can do to keep your project on track. Delays here tend to push things back. Your PM will guide you through exactly what we need and how to grant it.

If we’re doing creative work, we’ll also ask for brand assets like your logo files, style guide, and any photography or video assets you want us to work with.

Your Kickoff Meeting

Your Project Manager will work with you to get a kickoff meeting scheduled, typically within the first week or two, depending on the timeline we’ve agreed to.

Kickoff is where the real work begins. Here’s what we’ll cover:

We’ll do introductions so you can meet the team members who will be supporting your project. Depending on the engagement, this might include strategists, designers, developers, or channel specialists. You’ll meet your Account Manager and Project Manager for sure, and often other specialists within the first couple of weeks.

We’ll walk through how we work—our expectations for the partnership, how we communicate, and what we need from you to be successful.

We’ll review the scope of work so everyone is aligned on what we’re doing, what we’re not doing, and what the timeline looks like.

We’ll set up your regular meeting cadence. Depending on the size and scope of the engagement, this is usually weekly or biweekly calls to start.

Our team will have cameras on for video calls. We find there’s a lot of communication that happens visually—reading reactions, catching confusion, building rapport—that gets lost when cameras are off. We’d ask that you do the same when possible.

What We Need From You

The partnerships that go smoothly have a few things in common, and most of it comes down to communication and responsiveness.

A clear point of contact. This usually happens naturally, but it helps to have one person on your side who owns the communication with us. This keeps feedback consolidated, avoids conflicting direction, and helps us know when we have a green light to move forward.

Timely feedback. We generally ask for feedback within 3-5 business days. Each project will have its own timeline with specific milestones and review windows, and your PM will keep you informed about what’s due when. Delayed feedback is one of the most common reasons projects slow down, so staying on top of reviews makes a big difference. If you’re traveling or need longer review timelines, let us know, and we’re happy to accommodate. 

Access and assets. The faster we can get into your systems and get our hands on your brand materials, the faster we can get to work.

Show up to meetings. Our meetings are where we align, make decisions, and keep momentum. When key stakeholders miss meetings, things tend to stall.

What You Can Expect From Us

We’ll listen to and understand your goals. We’ll give you honest advice and strategic guidance you can trust. We’ll over-communicate rather than under-communicate—you’ll always know what’s happening.

We’ll show up to meetings on time and send notes and action items afterward. We’ll keep you informed through Basecamp, so you have visibility into progress and next steps.

We value open communication. If questions or concerns come up, raise them early—the best partnerships are built on that kind of trust.

By the End of 30 Days

By the end of your first month, you’ll have met your core team and likely a few specialists supporting your project. You’ll have a regular meeting rhythm in place. You’ll have visibility into the project timeline and what’s coming next. 

And we’ll be well into the work—whether that’s discovery, audits, strategy development, or early deliverables, depending on your engagement.

Most importantly, you’ll know how we work together. You’ll have a feel for the communication style, the pace, and what to expect going forward.
